Emailing guests their photos

For White label only.

On this page

On White label, guests can ask for their photo by email. They type their address on their own phone, on the page their QR code opens, under Email me this photo, or with the Email button on the booth (below).

Before you start

  • You need the White label plan.
  • QR sharing must be on, because the email field lives on the QR code's page. See Sharing with a QR code.
  • The device needs the internet to send. Without it, requests wait and go out when it's back online, within 24 hours.
  • Email is set up in admin > Messages. If you don't see Messages, messaging isn't available on your device yet.

Choose how emails are sent

In Messages > Email, choose one of:

  • Off: the default. No email field anywhere.
  • ZeroCapture mail: ZeroCapture's server sends the email. It needs a free ZeroCapture account signed in on the device (tap Sign in); no Cloud subscription is needed. The email comes from photos@zerocapturestudio.com with your Business name as the sender, in your branding, with a preview of the photo and a Save photo button. Add a Reply-to address so guests' replies reach you. Up to 1,000 emails a month are included.
  • Own email server: the device sends through your own email (SMTP) server, with the photo attached. Fill in the server, port, security, user name, password, sender name and sender address. Your password stays on the device and only goes to your server.

Send a test checks the set-up and tells you what went wrong, in plain words, if it fails.

The message

The Email subject and Email message start filled in with ready-made wording you can change. You can use:

  • {event}: the event's name, or "the photo booth" when there is none.
  • {brand}: your business name.
  • {link}: the link to the photo.

A preview shows the message with the current event. Use the default puts the original wording back.

What guests see

Under the field the page says "We only use this to send you your photo." When the email carries a link rather than an attachment, it also says the photo is kept online for 7 days so the link works. Guests then see "We'll email your photo to … shortly."

The email field only shows while email can actually be sent: signed in and under the monthly limit for ZeroCapture mail, or with the server details filled in for your own server. Guests never see why it's missing.

The send log

Messages > Email shows emails sent today, in the last 7 days and in all, and a log of the last 100, each Queued, Sending, Sent, Delivered, Not delivered or Not sent with the reason. Send again sends a new copy. Stop link ends a photo's 7-day link early.

Email on the booth

The result screen and the gallery can also show Email, so a guest types their address on the booth's own keyboard and taps Send. With Own email server they get the same email, with the photo attached. With ZeroCapture mail it's the same email the phone page sends: a link to the photo's page, kept online for 7 days (or the photo's Online QR link if it's already in ZeroCapture Cloud). No Cloud subscription is needed, and QR sharing can be off. The button shows only while email can send and the device is online. Turn it off with Booth defaults > Guests can change > Email on the booth.

Privacy

An address is used only to send that one photo, once. It's never used for marketing or shown to other guests. It's kept in the device's log (the last 100, for up to 30 days), and for ZeroCapture mail in the server's delivery log for 30 days.

Boomerangs and videos can't be emailed yet. See also Messages and Sending photos by SMS.
